Your information

Privacy, explained clearly.

This policy explains what personal information I collect when you contact me or work with me, why I need it, how I keep it safe and the rights you have over it.

You should always know what I hold, why I hold it and how to ask me about it.

At a glance

The short version.

01You control the first step

You choose how much to share in your enquiry. We speak before any detailed information is requested.

02Health details are sensitive

Therapy involves health information. I ask for explicit consent before collecting it and handle it with extra care.

03No tracking

The website sets no cookies of its own and does not use analytics. Two optional services can set cookies only if you use them.

04You can ask questions

Email Info@StephenTherapy.com to ask what I hold, correct it, or request deletion.

Who this covers

Stephen Therapy and the people it works with.

Stephen Therapy is the trading name of Stephen Stanton, a Clinical Hypnotherapist and RTT Practitioner based at 79 Parsonage Street, Heaton Norris, Stockport, SK4 1HY. I am the data controller for the personal information described in this policy.

The policy applies to visitors to this website, people who send an enquiry, people who take part in an initial telephone conversation and clients who receive hypnotherapy, RTT, career coaching, interview preparation or mentoring.

What I collect

Only what the work needs.

01

Website visitors

The website does not collect information about how you browse it. There are no analytics or tracking cookies. The hosting provider, Cloudflare, processes your device’s IP address in order to deliver pages and protect the site from abuse; I do not see or keep this. Details of the optional services that can set cookies are in the Cookie Policy.

02

Website enquiry form

Name, telephone number, email address, the area you would like help with, when it is convenient to call and a brief description of what has been happening. The form is delivered to my inbox by Web3Forms, a form-handling service. I ask you not to include detailed medical information at this stage.

03

Initial telephone conversation

Brief notes about the reason you contacted me, what you would like help with and whether working together appears appropriate. If we decide not to continue, only minimal notes are retained, for a short period.

04

Intake form and therapy sessions

Personal details, relevant health and wellbeing information, medication and lifestyle details relevant to the work, and session notes. Because this includes special category data, I explain what I collect and ask for your explicit consent before we begin.

05

Personalised recordings

Your recording is created from what we discuss and may contain sensitive content. It is provided to you securely and stored for a limited period so that it can be resent if needed.

06

Career support

Employment history, CVs, career goals and interview preparation notes where you ask for career coaching or mentoring. I do not need health information for this unless you choose to share something that is relevant.

How I use information

Clear purposes, no surprises.

  • Responding to your enquiry and arranging our initial telephone conversation.
  • Understanding what you want help with before we meet, so the session is prepared and personal.
  • Delivering hypnotherapy, RTT, career coaching, interview preparation or mentoring safely.
  • Creating and delivering your personalised recording and providing follow-up check-ins.
  • Keeping accurate professional records required by my accrediting bodies and insurer.
  • Managing appointments, deposits and payments, and keeping the website secure and working properly.

I do not use client information for marketing, I do not sell it and I do not share it with third parties for their own purposes.

Lawful basis

Why I am allowed to use your information.

Consent

For special category data such as health information, and for creating and storing your recording. You can withdraw consent at any time, although this may mean I can no longer safely continue the work.

Contract

To respond to your enquiry, arrange sessions and deliver the services you ask for.

Legal obligation

To keep records required by professional bodies, insurers and applicable law, including safeguarding obligations.

Legitimate interests

For essential website security and administration, balanced carefully against your rights and expectations.

Sharing and safeguarding

Confidential by default.

What you share with me is confidential. I do not share personal information except in these limited circumstances:

  • Where I use a trusted service provider to deliver the work, such as email, secure storage, form handling or web hosting. These providers act on my instructions and do not use your information for their own purposes.
  • Where I am required by law, court order, my regulatory or accrediting bodies or my professional insurer.
  • Where I believe there is a serious risk to your safety or the safety of another person, in line with my safeguarding responsibilities. Where possible, I will discuss this with you first.
  • Where you ask me in writing to share information with a third party such as a GP or another professional.

If somebody’s welfare is at serious risk, I may need to contact relevant services even without consent. I will always try to involve you in that decision unless doing so would increase the risk.

Website services

What runs behind the website.

This website is built to work without tracking you. It sets no cookies of its own and does not use analytics. A small number of services are involved in delivering it:

  • Cloudflare hosts the website and delivers it to your browser. It processes your IP address to do this and to protect the site from attacks. I do not receive or store this information.
  • Web3Forms delivers contact form submissions to my inbox. It processes the details you type in order to send them to me, and does not use them for anything else.
  • Google Maps appears on the contact page only if you click “Show map”. Google may set cookies when you do.
  • YouTube videos appear in some articles. They use YouTube’s privacy-enhanced mode and set nothing until you press play.

Full details, and how to avoid the optional services altogether, are in the Cookie Policy.

Storage and retention

Kept securely, and not longer than needed.

Information is stored securely using password-protected devices and reputable, access-controlled online services. Paper records, where used, are kept locked away.

InformationHow long I keep it
Enquiries that do not lead to work togetherUp to 6 months, then deleted
Client records, session notes and intake formsRetained in line with professional body and insurer requirements, then securely destroyed
Personalised recordingsRetained for a limited period after your final session so they can be resent if needed, then deleted
Payment and deposit recordsRetained as required by tax and accounting rules

If you would like to know the exact retention period that applies to your records, ask me and I will tell you.

Your rights

What you can ask me to do.

Access

Ask for a copy of the personal information I hold about you.

Correction

Ask me to correct information that is inaccurate or incomplete.

Deletion

Ask me to delete information, subject to records I am required to keep.

Restriction and objection

Ask me to limit how I use your information, or object to a particular use.

Withdraw consent

Withdraw consent for special category data or recordings at any time.

Portability

Ask for information you provided to be sent to you or another provider in a usable format.

To exercise any of these rights, email Info@StephenTherapy.com. I will respond within one month.

Contact and complaints

Questions are always welcome.

If you have a question about this policy or how I handle your information, please contact me first at Info@StephenTherapy.com or 07393 312163.

If you are not satisfied with my response, you have the right to complain to the Information Commissioner’s Office at ico.org.uk.

This policy may be updated from time to time. The date at the top of the page shows when it was last revised.
